Privacy Policy

P.L. Taggart and S.A. Taggart (ABN 45 774 804 485), a partnership trading as Vets Unlimited (Vets Unlimited, we, us or our), operates the veterinary job board at www.vetsunlimited.com.au (this site). This Privacy Policy explains what personal information we collect, how we use and disclose it, how we keep it secure, and how you can access it, correct it or complain.

We handle personal information in accordance with the Australian Privacy Principles in the Privacy Act 1988 (Cth). This Privacy Policy describes our practices. It is not a contract and does not form part of our Website Terms of Use (www.vetsunlimited.com.au/terms-and-conditions/) or our Platform Terms (www.vetsunlimited.com.au/platform-terms/), but you should read it with them.

How this site works

Employers in Australia and New Zealand register an account, add their clinics and publish job advertisements. Job seekers browse advertisements without an account and contact employers directly using the details in each advertisement. We do not receive applications or resumes, and we do not take part in communications between employers and job seekers.

This means that employer contact details published in an advertisement are, by design, visible to the public. Personal information that a job seeker sends to an employer is collected and held by that employer, not by us, and is governed by that employer’s privacy practices.

What personal information we collect

Employers and their staff

When you register an employer account, add a clinic or publish an advertisement, we collect:

• the name, username, email address and password of the person who registers and of any other user of the account;
• your clinic name, address, phone number, email address and website, and your business name and ABN (or New Zealand Business Number) if we ask for them;
• the name, email address and phone number of any contact person or application contact named in an advertisement;
• payment card details, which are collected and stored by Stripe, our payment processor. We see only the card brand, the last four digits and the expiry date, together with your payment history and receipts;
• the content of your advertisements and clinic profile, including any images you upload;
• records of your acceptance of our Platform Terms (date, time, IP address and version accepted); and
• your use of the employer dashboard, including listing statistics.

Job seekers and other visitors

You do not need an account to view advertisements, and we do not collect applications. We collect personal information from job seekers and other visitors only when you:

• subscribe to our newsletter (your email address);
• register for a webinar or event we run (your name, email address, role and workplace and, if you attend, your questions and chat messages, and your image and voice if your camera or microphone is on, which may be recorded);
• send us a message through the Contact & Feedback form or any other form on this site (your name, email address and the content of your message);
• email us; or
• otherwise choose to give it to us.

Information collected automatically

When you visit this site our hosting provider’s servers record technical information, including your IP address, browser type, device type, the pages you visit, the time of your visit and the site that referred you. We use this information to operate and secure this site, to detect misuse and fraud, and to understand how this site is used. See “Cookies and analytics” below.

Sensitive information

We do not ask for information about your health, racial or ethnic origin, religious beliefs or criminal record. Do not include it in a form, an advertisement or a message to us unless it is necessary.

How we collect personal information

We collect personal information directly from you when you register, add a clinic, publish an advertisement, make a payment, subscribe, submit a form or contact us, and automatically through this site as described above. If you give us personal information about another person (for example, a staff member named in an advertisement), you must have that person’s consent to do so and to its publication.

Why we collect, use and disclose personal information

We collect, use and disclose personal information to:

• register and manage employer accounts and clinics, and verify that an account is genuine;
• publish advertisements and clinic profiles, including the contact details you choose to publish in them;
• process payments, issue receipts, send reminders before a charge is made, and manage renewals, cancellations and refunds;
• send service messages about accounts, advertisements, payments and changes to our terms;
• run webinars and events, send registrants the details, materials and recording, and send our newsletter and other marketing communications to people who have agreed to receive them (see “Direct marketing” below);
• respond to enquiries, feedback and complaints;
• operate, secure, maintain and improve this site, and detect and prevent misuse, fraud and unlawful activity;
• produce aggregated statistics about this site and the veterinary job market that do not identify any person, and use de-identified information to improve this site, including its search; and
• comply with our legal obligations and establish, exercise or defend legal claims.

We do not profile you or make decisions about you by automated means without human involvement, apart from the automated processes that run this site, including spam and bot checks, payment fraud checks by Stripe, and the automatic operation of free periods, renewals and failed payments under our Platform Terms.

Who we disclose personal information to

Publication on this site

The business contact details that an employer includes in an advertisement or clinic profile, including the application email address, are published on this site and may be shared by us in promoting this site, including in newsletters and on social media. Search engines may index published advertisements.

Service providers

We disclose personal information to service providers that help us operate this site and our business, only for that purpose and subject to obligations of confidentiality and privacy. At the date of this Privacy Policy they are:

• WPStaq, which hosts this site on Amazon Web Services servers located in Sydney, Australia;
• Stripe Payments Australia Pty Ltd (ABN 66 160 180 343), which processes card payments and stores payment card details, and whose scripts load on every page of this site for fraud prevention. Stripe is part of a global group that processes data in countries including the United States of America;
• Brevo (Sendinblue SAS, Paris, France), which sends our newsletter and webinar emails and stores subscriber and registrant details in France or other European Union countries;
• our email delivery and business email providers, which transmit service emails and form submissions and may store copies on servers outside Australia, including in the United States of America and the European Union;
• our webinar platform provider, which hosts webinar registrations and sessions and may store registrant details and recordings outside Australia, including in the United States of America;
• Google, which provides the maps, fonts and, if we enable it, analytics used on this site, and processes technical information such as IP addresses in countries including the United States of America;
• the content delivery networks operated by Cloudflare (cdnjs) and Font Awesome, which serve scripts and icon fonts to your browser and receive your IP address when a page loads; and
• our website developer and information technology contractors, who may access this site and its data to maintain and support it.

Other disclosures

We may also disclose personal information to:

• our professional advisers, including our business lawyers and accountants;
• a person who acquires, or proposes to acquire, the Vets Unlimited business, subject to confidentiality;
• government agencies, regulators, courts and law enforcement bodies where required or authorised by law; and
• any other person with your consent.

We do not sell personal information.

Overseas disclosure

Some of the service providers listed above store or process personal information outside Australia, in particular in the United States of America (Stripe, Google, Cloudflare, Font Awesome, email providers and our webinar platform) and France or other European Union countries (Brevo and email providers). Before disclosing personal information to an overseas recipient we take reasonable steps to ensure that it will be handled in accordance with the Australian Privacy Principles, including by dealing only with providers that give contractual privacy and security commitments.

Direct marketing

We send our newsletter and other marketing emails only to people who have agreed to receive them by subscribing on this site or when registering for a webinar. Emails about a webinar you have registered for also include an unsubscribe link. Every marketing email includes an unsubscribe link. You can also opt out at any time by emailing [email protected], and we will act on your request within 5 business days. We do not give your details to other businesses for their marketing.

Service messages about your account, payments, reminders and our terms are not marketing and will continue while you hold an account.

Cookies and analytics

This site uses cookies and similar technologies. A cookie is a small file placed on your device by a website. This site uses:

• cookies set by this site to keep employers logged in, remember preferences, manage forms and secure the site. These are essential to the operation of this site;
• cookies set by Stripe, whose scripts load on every page of this site, which Stripe uses to detect and prevent payment fraud;
• cookies or similar technologies set by Google when a map is displayed on a job advertisement page or when fonts are loaded from Google; and
• if we enable Google Analytics, cookies that collect information about how visitors use this site (such as pages visited and time spent) in a form that does not identify you to us. Google may combine this information with other information it holds.

We do not currently use advertising, remarketing or social media tracking cookies. If that changes we will update this Privacy Policy.

You can block or delete cookies through your browser settings. If you block essential cookies, parts of this site, including the employer dashboard, may not work.

Storage, security and retention

Personal information is stored on our hosting provider’s servers in Sydney, Australia, with our service providers as described above, and in our business email and records. We protect it with measures that include encryption of data in transit, password protection, and restriction of access to those who need it. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.

We keep personal information for as long as we need it for the purposes described above and to meet our legal obligations. In general: employer account and payment records are kept for the life of the account and for 7 years after it closes; published advertisements are archived when they expire and kept for up to 7 years; newsletter subscriptions are kept until you unsubscribe; and form submissions and email enquiries are kept for up to 2 years. We then delete or de-identify the information.

Access and correction

Employers can view and update most of their account, clinic and advertisement information at any time in the employer dashboard. Anyone may ask us for access to, or correction of, the personal information we hold about them by emailing [email protected]. We will respond within 30 days. We do not charge for a request, but may charge our reasonable costs of providing access to a large amount of information. If we refuse a request we will tell you why, and you may complain as described below.

Complaints

If you have a question or complaint about how we have handled your personal information, email [email protected] or write to Vets Unlimited, PO Box 1207, Victor Harbor SA 5211. We will acknowledge your complaint within 7 days and aim to resolve it within 30 days. If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner at www.oaic.gov.au.

Data breaches

If a data breach involving personal information we hold is likely to result in serious harm to any individual, we will notify the affected individuals and the Office of the Australian Information Commissioner.

Children

This site is not directed to people under 18, and we do not knowingly collect personal information from them.

Changes to this Privacy Policy

We may update this Privacy Policy. The current version, with its version number and effective date, is always published on this site. Material changes will be notified to employers by email. This privacy policy was prepared by Talon Legal for Vets Unlimited exclusively.
